User Permissions Explained
This guide outlines the different user roles within Shortlister and what each role can access or manage across assessments and interviews.
Understanding permissions ensures the right users have the appropriate level of control when creating, managing, and reviewing assessments.
Overview of User Roles
Shortlister provides four core user roles:
- Account Managers – Full administrative access across the platform
- Account Holders – High-level access to create and manage assessments
- Creators – Responsible for building and managing their own assessments
- Reviewers – Focused solely on reviewing assigned assessments or participants
Account Managers, Account Holders, and Creators are added at the account level.
Reviewers are assigned to specific assessments or groups of participants.

Managing Users
User management is controlled by role:
- Account Managers can add Account Holders and Creators
- Account Holders can add Reviewers
- Reviewers cannot add or manage users
This ensures account-level access is tightly controlled, while still allowing teams to scale reviewer access as needed.
Role Definitions
Account Managers
Account Managers have the highest level of access within the platform.
They can:
- Configure account-wide defaults
- Create and access all assessments
- Review any assessment, regardless of assignment
- Manage the Marketplace
- Add Account Holders and Creators
- Invite interviewees (to their own assessments)
Account Holders
Account Holders can manage most day-to-day activity but cannot change core account settings.
They can:
- Create and manage assessments
- Access assessments created by others
- Review all assessments
- Manage Marketplace content
- Add Reviewers
- Invite interviewees (to their own assessments)
Creators
Creators are responsible for building and managing their own assessments.
They can:
- Create assessments
- Review assessments they are assigned to
- Invite interviewees to their own assessments
They cannot:
- Access assessments created by others
- Review assessments they are not assigned to
- Add users
- Modify Marketplace or account settings
Reviewers
Reviewers have a focused role within the platform and are typically added to support evaluation.
They can:
- Review assigned assessments or participants
They cannot:
- Create assessments
- Invite interviewees
- Access other assessments
- Add or manage users
- Make configuration changes
Authentication and Access (SSO)
If Single Sign-On (SSO) is enabled:
- Users with an email address that matches your organisation’s domain will be prompted to authenticate via SSO
- Users with email addresses outside of your domain will be prompted to set a password to access the platform
This ensures secure and appropriate access for both internal and external users (e.g. reviewers).
