Who are we?
We are Shortlister Solutions Limited (SSL). We provide the technology that your school, college, university or employer is using for interviews, assessments, and preparation activities.
The organisation that invited you is responsible for the decisions they make using your results.
What is personal data?
Personal data is information that can be used to identify you. For example, your name, email address, and the answers you submit.
What personal data do we collect?
This depends on what your organisation has asked us to collect, but it can include:

Your name and contact details (like your email address)
-
Your answers (video, audio, written, or assessment answers)
-
Any documents you upload (like a CV), if you are asked to upload one
-
Technical information like your IP address (so we can keep the platform safe and fix problems)
Why do we collect your personal data?
We collect it so you can:
-
Take part in the activity (like an interview, assessment, or practice session)
-
Get the right support and feedback
-
Help keep the platform safe and working properly
Where do we get your personal data from?
We get your information from:
-
The organisation that invited you, and/or
-
You (when you use the platform and upload or submit answers)
What do we use it for?
We use your personal data to:
-
Let you access the platform
-
Record and store your answers and results
-
Share your submitted answers/results with the organisation that invited you
-
Send you messages like invitations and reminders
-
Fix technical problems and keep the platform secure
Sometimes we may use AI tools to help create summaries or feedback suggestions (if your organisation has turned this on), but people make the final decisions, not AI.
Where is my data and who can see it?
We store your data securely. Only:
-
authorised SSL staff, and
-
trusted suppliers who help us run the platform (only when needed)
can access it.
We do not share your data with anyone else unless it is needed to provide the service.
How long do you keep my data?
We usually keep your data for 12 months, unless the organisation that invited you asks us to delete it sooner or keep it for longer.
After that, we delete it or remove details that could identify you.
Do I need to do anything?
No, you don’t need to do anything, as long as you understand how your personal data is used.
What are my rights?
You have rights over your personal data, including the right to:
-
ask what data is held about you
-
ask for it to be corrected if it’s wrong
-
ask for it to be deleted (in some cases)
If you want to use your rights, you should usually contact the organisation that invited you. If you contact us, we will pass your request to them.
