Campaign Manager: Grouping Activities
How to bundle multiple Activities into a single Campaign, publish it, and share one registration link that signs candidates up for everything at once.
Campaign Manager lets you group two or more Activities — interviews, assessments, or a mix of both — into a single Campaign, so candidates can register for the whole programme through one shared sign-up link instead of you sending separate invitations for each Activity.
This is especially useful for structured programmes that combine multiple steps — for example, a video interview, a written assessment, and an aptitude test that together make up a hiring process, placement preparation or graduate programme pathway.
What you can do with a Campaign- Group any combination of existing Activities together under one Campaign name and description.
- Control the order candidates move through the Activities, and set rules for what a candidate must complete before the next Activity becomes available.
- Add participants and reviewers to the whole Campaign at once, rather than Activity by Activity.
- Publish the Campaign and generate a single registration link that signs a candidate up for every Activity in the Campaign in one step.
- Optionally list the Campaign on your Marketplace page, with its own public-facing title, description, and intro video.
- Go to Activities.
- Tick the checkbox next to each Activity you want to include. You can select Activities across both Interview and Assessment types.

- In the bulk action bar that appears above the list, click Add to Campaign. Review the Selected activities list, then click Add to Campaign.

- In the “Add activities to a Campaign” window, choose a destination: Create new Campaign to start a brand new Campaign with the selected Activities, or Add to existing Campaign to add them to a Campaign you’ve already created.

- If you’re creating a new Campaign, give it a Campaign title and a Campaign description. This is shown to candidates above the Activity list on the Campaign’s dashboard, so use it to explain the campaign and what’s involved.
- Review the Selected activities list, then click Add to Campaign.

Name the Campaign, add a description, and confirm the Activities you’re adding.
The new Campaign now appears as its own row in your Activities list, tagged with the type “Campaign” and a count of how many Activities it contains. Click the title at any time to open and manage it.
Managing a CampaignOpening a Campaign gives you four tabs: Overview, Participants, Review panel, and Settings.
Overview — activity order and progression rulesThe Overview tab lists every Activity in the Campaign in the order candidates will see them. For each Activity, you can set a Progression rule that controls how a candidate moves on to the next one:

Progression rules are set from the Overview tab — greyed-out options mean that Activity doesn’t produce a pass/fail result.
A progression rule set on the last Activity in the Campaign has no effect, since there’s nothing after it to unlock.
To change the running order, click Reorder activities, use Move up / Move down against each Activity, then Save order.

Participants — adding candidatesUse the Participants tab to add the people you want to invite:
- Add new — add one participant at a time (first name, last name, email, an optional external ID/reference, phone number, and an option to give that participant additional time to respond to each question).
- Bulk add — paste a list of participant details in one go and validate them before adding. First name, Last Name & Email address are mandatory fields.
Participants added here are enrolled across the whole Campaign, not just one Activity within it.

Review panel — adding reviewersUse the Review panel tab to control who can access and review submissions across every Activity in the Campaign. Add reviewers individually or in bulk. You need to be on the review panel yourself to receive email notifications for Campaign activity.

Settings — publishing and campaign-wide optionsThe Settings tab is where you publish the Campaign and configure the details candidates see:
- Status / Publish Campaign — while a Campaign is in Draft, you can add participants and reviewers, but candidates can’t reach it yet. Click Publish Campaign to open it up. You’ll be asked whether to send invitations to anyone already added, or publish without sending them.
- Campaign description — the same description candidates see above the Activity list; editable at any time.
- Marketplace listing — optionally list the Campaign on your public Marketplace page. Nothing is public-facing until the Campaign is both published and listed.
- Marketplace face — an optional title and description for the public Marketplace card, if you want something different from the Campaign’s own title and description.
- Campaign intro video — a welcome video shown at the top of the Campaign dashboard, which you can record directly in Go (with an on-screen teleprompter) or select from your existing video library.

Publishing lets you choose whether to send invitations immediately or publish without them.

Sharing the sign-up linkOnce a Campaign is Published, a Get link button appears on the Participants tab alongside Add new and Bulk add. Click it to open Share registration link, which gives you a single URL (for example go.shortlister.com/c/xxxxxxx) that you can copy and share however you like — email, your website, social media, and so on.

Share registration link — one URL registers candidates for the whole Campaign.
Anyone with this link can register themselves for the Campaign. When a candidate opens it, they see:
- The Campaign name and your organisation’s name.
- Your Campaign description.
- The list of Activities (“Roles”) included in the Campaign.
- A short registration form — name, email, mobile number, and an optional access code field.
- Privacy Notice and eligibility confirmation checkboxes.
- A single Sign up for all roles button.

After filling in their details and confirming eligibility, the candidate clicks Sign up for all roles once.
Submitting the form registers the candidate for every Activity in the Campaign at once — they don’t need a separate invitation or link for each one.
Tips- You can add more Activities to an existing Campaign later — just repeat the Add to Campaign steps and choose Add to existing Campaign.
- Progression rules are a good way to make sure candidates complete a screening step, like a short assessment, before they’re able to access a longer interview Activity.
- If you want to invite specific people yourself rather than relying on public self-registration, use Add new or Bulk add on the Participants tab — the public link and individual invitations can be used side by side.
